Nature Of Duties:
Classification: 10131 - Administrative Assistant (Director's Office) Pay range: 7 $15.33 to $20.04/hour
Performs complex secretarial duties in completing special projects at the direction of the director, or assigned supervisor; assists in coordination of projects to include reviewing information & reports, completing research and compiling reports, preparing responses and correspondence, monitoring progress, scheduling appointments, preparation for meetings, conferences, etc., to ensure projects are completed timely. Assists director with routine tasks; may attend meetings on director's behalf to gather and provide information regarding agency matters. Takes, publishes and distributes minutes; makes travel arrangements. Responsible for publication of agency newsletters, editing submitted articles as appropriate. Maintains confidential records. Receives phone calls from the public, customers and agency staff on behalf of the director; attempts to resolve lower-level concerns and issues by providing information, explaining policies and procedures and/or making appropriate referrals. Keeps director informed of presenting issues, concerns and needs. Maintains good relations with the public, agency and County staff, community partners and elected officials. Performs general clerical functions necessary to accomplish the preceding. Attends meetings, training sessions, and conferences as assigned. Any other duties as assigned by director. Position requires regular and predictable attendance, and a valid Ohio Drivers license.
Required Qualifications:
Completion of two years of technical training in office administration/secretarial science with emphasis on legal secretarial functions. Also requires two years experience in area of clerical or administrative work performing non-routine and routine administrative and clerical tasks, coordinating internal activities, and utilizing computer software programs. OR two courses or twelve months experience in typing or keyboarding, two courses or twelve months experience in legal research and writing, two courses or twelve months experience in word processing, one course or six months experience in office practices & procedures, one course or six months experience in administrative office procedures, one course or six months experience in techniques of writing, and one course or six months experience in business mathematics. Also requires two years experience in area of clerical or administrative work performing non-routine and routine administrative and clerical tasks, coordinating internal activities and utilizing computer software programs. OR education, training and/or experience in an amount equal to the Minimum Qualifications stated above.
RCJFS Preference: Experience that demonstrates an ability to communicate effectively and with discretion.
Unusual Working Conditions/Hazards: The position requires no unusual physical effort other than normal bending, walking, standing and sitting inherent in an office job. The position involves working in an office setting, where the likelihood of injury is very limited. Position requires occasional transport of self using a motor vehicle.
